A) RESERVATION CONDITIONS:

  1. Reservation: A reservation is considered final upon receipt of the required deposit. By confirming a booking, the general terms and conditions come into effect. The client making this booking is jointly responsible for complying with the booking steps and rental conditions.

  2. Deposit: To confirm a reservation, a deposit of 100% of the total stay amount + security deposit is required. This deposit must be paid within 5 days of the reservation date.

  3. If payment is not made within 5 days, no rental contract is established, and the landlord can re-list the accommodation for rent to third parties.

  4. Confirmation: Upon receipt of the deposit, a reservation confirmation is provided along with further information about the stay.

  5. Cancellation: In case of cancellation, the deposit can only be refunded according to the accommodation's cancellation policy.

B) PAYMENT CONDITIONS:

  1. Payments: Payments can be made via bank transfer or another agreed-upon payment method.

  2. Security Deposit: A refundable security deposit is requested when paying the remaining amount. This deposit is refunded within 14 days after check-out, provided there is no damage or violation of the terms.

  3. Tourist Tax: Tourist tax is separately added.

C) CANCELLATION CONDITIONS:

  1. Full Refund: Cancellation more than 30 days before the check-in date entitles a refund of 80% of the rental amount.

  2. Partial Refund: Cancellation between 15 and 30 days before the check-in date results in a 50% refund of the total rental amount.

  3. No Refund: No refund for cancellations less than 15 days before the check-in date.

  4. The security deposit is fully refunded in case of cancellation.

  5. Flexibility in emergencies: In certain cases, flexibility may be offered for emergencies, health issues, or unexpected circumstances, allowing the landlord to adjust cancellation conditions, preferably by rescheduling the date or offering a partial refund.

D) ARRIVAL CONDITIONS:

  1. Check-in Time: Check-in time is set at 3:00 PM. Guests can check in from this time. Early check-in may be possible upon request, depending on availability.

  2. Key Handover: Guests receive an access code for use during their stay. Additionally, there is a key with a badge available on the kitchen island. Other instructions can also be provided.

  3. Check-in Procedure: Upon arrival, guests may need to register or follow a check-in procedure, such as filling out a form with personal information for administrative purposes.

  4. Payment Information: Any outstanding balances, registration fees, or deposits must be paid upon arrival according to the reservation conditions.

E) DEPARTURE CONDITIONS:

  1. Check-out Time: The standard check-out time is at 10:00 AM on weekdays. On Sundays, guests can stay until 5:00 PM. Guests are requested to leave the accommodation at this time. Late check-out may be possible upon request.

F) HOUSE RULES:

Guests are kindly requested to leave the property in a tidy state:

  1. Dispose of waste.

  2. Wash dishes and load/unload the dishwasher.

  3. Return everything to its place.

  4. Collect bed and bath linen (excluding mattress and pillow protectors) in a central place in the basement (laundry basket provided).

  5. Close windows.

  6. Respect the house rules as indicated in the information guide.

  7. Key return: Guests must return the key to the place where it was found. If the house and/or garden are in a state that cannot be managed within the predetermined cleaning hours, if waste is not sorted, the owner has the right to deduct the costs for additional cleaning hours from the deposit.

G) AGREEMENTS DURING STAY:

  1. Smoking: Our accommodation is strictly non-smoking. Smoking is not allowed inside the property. Smoke detectors are provided.

  2. Pets: While we love animals, pets are not allowed due to the nature of the accommodation.

  3. Use of Appliances: Frying, fondue, stone grilling, and the use of raclette devices are prohibited. Such devices can cause strong odors and smoke, which are undesirable in our accommodation. Guests are kindly requested not to bring or use such devices during their stay.

  4. Candle Lighting: Only lighting candles in designated holders is allowed. Detectors are provided. Only holders are available on the outdoor table.

  5. Guests and Events: Organizing events or parties or receiving more guests than agreed upon with the owner is not allowed. In case of violation, all persons will be removed from the accommodation without prior warning – without a refund of rental fees.

  6. Staircase to Upper Floor: Guests are kindly requested to remove shoes. Space for shoes is provided in the vestibule by the entrance door.

  7. Noise: Respect the tranquility of the surroundings. Noise disturbance is not tolerated. Playing music in the garden is not allowed. In case of violation, all persons will be removed from the accommodation without prior warning – without a refund of rental fees.

  8. Damages and Loss: Any damage to the accommodation or loss of property must be reported immediately to the owner. Guests are liable for any damage or loss caused during their stay.

  9. Cleaning: Guests are expected to leave the accommodation clean and tidy upon departure. Cleaning costs do not cover excessive pollution or clutter.

  10. Waste and Recycling: Sort waste according to local regulations. Instructions for waste disposal can be found in the accommodation.

  11. Access to Property: The owner reserves the right to access the accommodation for necessary inspections or repairs. This is always done after notifying the guests.

  12. Subletting: Subletting or transferring the rental is not allowed.

  13. Safety: Know the emergency exits and emergency numbers. Use kitchen appliances according to instructions. Close windows and doors when absent. Supervise water sources. Turn off all lights when absent. There is an 'all-off' button between the entrance door and the vestibule. Report suspicious activities immediately.
    Provide supervision at water features and water sources. There is a small pond in the garden, and there are water features nearby. Entering and using these elements is at your own risk. The artworks (structures with mirrors) at the back of the garden cannot be entered or used. There are stairs in the house. Entering and using them is at your own risk.

  14. Other Instructions: Follow any additional instructions or rules provided upon arrival or in the accommodation.

H) LIABILITY INSURANCE:

Guests are requested to have liability insurance (family insurance) covering damage to third parties. The tenant is advised to ensure their legal liability (e.g., in the event of a fire caused by them). Please check with your insurance agent.

I) LANDLORD'S LIABILITY:

  1. The owner or landlord cannot accept liability for loss, theft, damage, or injury, regardless of the nature, caused to tenants of the accommodation, provided games, or the garden.

  2. The prices and costs mentioned on the booking confirmation apply.

  3. The owner is not liable for damage caused by natural disasters, natural calamities, nuclear disasters, attacks, strikes, violence, or contact with an aircraft or its parts.

  4. Construction work may occur near your accommodation. For example, roadworks or construction activities. We are not responsible for any inconvenience caused by this.

  5. The owner is not always present on-site. The confirmation email of your booking includes the owner's phone number and/or their representative's number. In case of need, one can always contact one of these/this number(s).

On all booking agreements and related agreements, Belgian law applies. All disputes related to this agreement will be settled through mediation or by the competent court in Bruges.

J) COMPLAINTS AND DEPOSIT:

  1. Any complaint regarding the accommodation, cleanliness, inventory, or existing damage can be reported by phone to the owner within 24 hours of arrival. In the absence of any complaint within the mentioned period, the tenant is deemed to have recognized the good condition, accuracy of the inventory, and the general cleanliness of the house, including the absence of visible damage or defects to furniture, sanitary facilities, household appliances. Complaints made by the tenant after the rental period are inadmissible.

  2. The accommodation contains valuable items, and the deposit is intended to compensate for any accidents or damage.

  3. The inspection of the house is done during cleaning. It is during cleaning that damage, loss, or breakage can be identified.

  4. If everything is left in good order, and no damage or breakage is observed, the security deposit will be returned within fourteen days after your stay. If the damage exceeds the amount of the deposit, the tenant is obliged to make an additional payment. Also, if the condition of the house and/or garden requires more cleaning hours than initially planned, the owner has the right to deduct the cost of extra cleaning hours from the deposit.

  5. It is advisable to report accidents to the owner promptly. If something is broken, it is advisable to keep the broken pieces aside for the owner or their representative. This allows them to identify the broken item, preventing disputes and misunderstandings.

  6. The landlord always reserves the right to terminate the agreement and remove tenants from the accommodation in case of a breach of these rules, and also when a tenant or co-tenant has caused serious damage to the accommodation. In any of these cases, the landlord is not obligated to refund any part of the rental fees for the remaining rental period.
